Job Description

The Executive Assistant represents the Children’s Legacy Center and its cause, staff, and culture with professionalism and enthusiasm to all constituents. This position requires intentionality, a value for first impressions, and a love for admin. The Executive Assistant is the right-hand person to the Chief Executive Officer and will also report to the Chief of Staff. As such, the Executive Assistant’s primary responsibilities are

1) to provide a positive and professional response to the public in all settings (office, phone, meetings, online etc.)

2) provide necessary clerical support first to the CEO while working closely with the Chief of Staff.

Independent judgement and a positive mindset are required to plan, prioritize and organize a diversified workload. The Executive Assistant must be able to work well in collaboration with a team, as well as individually.

Roles and Responsibilities

• Handles highly confidential and non-routine information and explains policies when necessary
• Organizes and prioritizes large volumes of information and calls. Ensures effective communication both internally and externally to maintain a positive professional image
• Manages emails, fields phone calls for CEO, and other staff as directed. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information
• Makes travel arrangements (hotel, car, reservations and per diem)
• Prepares reports on reporting
• Manages state and an ongoing basis, as needed for board meetings and other presentations or federal grant calendar to ensure deadlines are met
• Works independently and within a team on special nonrecurring and ongoing projects
• Compile, organize and stack documents for grants
• Conducts research for subject matter assigned
• Provides real-time scheduling support for CEO
• Establishes, develops, and maintains filing system for CEO
• Utilizes phone system, copy machines, computers, postage meter, fax and other basic operating machines and equipment
• Works collaboratively with subcontractors
• Drives as needed to run errands for the CEO including picking up mail from PO Box

• Review and edit materials written by CEO

Required Education and Experience

• High school diploma or equivalent
• 2 years administrative experience
• Highly proficient in current Microsoft Office Suite, Google Docs and Forms, QuickBooks

Preferred Education and Experience

• Bachelors Degree in business or equivalent
• 3+ years experience
• Familiar with state and federal grants

Who We Are

The Children’s Legacy Center began in 2016. Our passion is to aid children and youth who have been abused and exploited. We currently achieve this goal by offering forensic interviewing services as a part of our Children’s Advocacy Center. These interviews reduce trauma and help our partner agencies expedite justice for children, youth, and their families. We are now able to build upon this tested and stable foundation and are building out our regional pilot model for exploited children and youth. This model is a diverse, holistic, and far-reaching collection of programs and services that will multiply our impact in the community and beyond. Although each of our team obtains a specific job description, we work collaboratively to develop and expand our organization.
